Speechall Privacy Policy

Effective Date: May 4, 2025

This Privacy Policy explains how Actondon UG (haftungsbeschränkt) (“we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our Speechall API service and visit or use our associated website and user dashboard located at https://speechall.com.

By accessing or using our API or website, you agree to the terms of this Privacy Policy.

1. Information We Collect

We collect information from you in several ways when you use our services:

  • Information You Provide Directly:

    • Account Information: When you register for an account on our website, we collect information such as your name, email address, and password.
    • Billing and Payment Information: If you purchase credits or subscribe to a plan, we collect necessary billing details. Please note that we typically use third-party payment processors (e.g., Stripe, PayPal), and while we receive confirmation of successful payment and transaction details, your full payment card information is handled directly by the processor and is not stored on our servers.
    • Communications: If you contact us for support, submit feedback, or interact with us in any way, we collect the content of your communication and contact information.
  • Information We Collect Automatically:

    • API Usage Data: When you use the Speechall API, we automatically collect metadata related to your requests. This includes information such as the timestamp of the request, the specific API endpoint used, the duration of the audio processed (for billing purposes), the chosen model, and potentially IP address and user agent. Crucially, we do NOT collect or store the content of your audio files or the resulting transcription text as part of this usage data.
  • Information Related to Audio and Transcription Processing (Our No-Storage Policy)

When you submit audio to our API for transcription (via file upload or URL):

    • We process the audio data in real-time or near real-time.
    • The audio data is securely transmitted to the selected underlying Speech-to-Text provider (e.g., OpenAI, Deepgram, etc.) for processing.
    • The transcription text generated by the provider is then transmitted back to us.
    • We immediately return the resulting transcription text directly to you in the format you requested.
    • We record only metadata about the processing job, such as the audio duration (for billing), the model used, the request timestamp, and a unique job ID.
    • We do NOT store copies of the audio files you submit or the resulting transcription text on our servers after the transcription is generated and returned to you. Our system is designed to focus on minimizing data retention related to the content of your audio and transcripts.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To Provide and Maintain the Service: To operate, deliver, and maintain the Speechall API and website, including processing transcription requests and providing access to your dashboard.
  • Account Management: To create and manage your user account, including API key generation and management.
  • Billing and Payment Processing: To track your usage, calculate costs based on audio duration, process payments, and provide billing information and usage monitoring in your dashboard.
  • Communication: To respond to your inquiries, provide customer support, send service updates, security alerts, and administrative messages.
  • Improvement and Development: To understand how our API and website are used, analyze usage trends, identify areas for improvement, and develop new features or services. This analysis is based on aggregated or anonymized usage metadata, not the content of your audio or transcripts.
  • Security and Fraud Prevention: To monitor for and prevent fraudulent activity, unauthorized access, and other illegal activities.
  • Compliance: To comply with applicable laws, regulations, and legal processes.

3. How We Share Your Information

We may share your information in the following circumstances:

  • With Underlying STT Providers: As described above, when you request transcription, the audio data is necessarily transmitted to the selected third-party STT provider for processing. Their handling of this data during the transcription process is subject to their own privacy policies and terms. However, as stated, we do not retain copies of the audio or transcription results on our systems after processing.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or government agency request).
  • Business Transfers: In connection with any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company, your information may be transferred.

We do NOT sell your personal information to third parties.

4. Data Retention

We retain personal information collected through the website and dashboard (like account details, billing records, and usage metadata) for as long as necessary to provide the services you have requested, to comply with our legal obligations, resolve disputes, and enforce our agreements.

5. Data Security

We implement reasonable technical and organizational measures designed to protect your personal information from unauthorized access, disclosure, alteration, and destruction. However, please be aware that no security system is completely impenetrable, and we cannot guarantee the absolute security of your information.

6. Your Privacy Rights
